Understand what your training organisation needs before applying for QCTO accreditation. Nelson AA helps you review institutional readiness, prepare programme evidence and organise the staff, resources and systems required for delivery.
QCTO accreditation requirements in South Africa cover both institutional compliance and readiness to deliver a specific occupational programme. Your organisation must show that it can operate responsibly, provide the required learning and assessment, and support learners throughout the programme.
Nelson AA helps training providers understand these requirements, identify gaps and prepare supporting evidence. The starting point is your chosen qualification, part-qualification or occupational skills programme, because its curriculum determines the people, resources and delivery arrangements you need.
Skills Development Providers (SDPs) offering programmes within the Occupational Qualifications Sub-Framework must obtain the appropriate QCTO accreditation. This guide focuses on preparation for occupational qualifications, part-qualifications and skills programmes.
Confirm the exact programme title, qualification or programme ID, current status and curriculum before preparing your application. Also establish whether you are applying to deliver training, conduct external assessment or both. Assessment centre accreditation has its own requirements and application process.
Some occupations also involve statutory professional body requirements. Check these when confirming the programme’s staffing and learning-resource requirements.
The application must identify the legal entity responsible for delivering the programme. Typical institutional evidence includes:
Check that your organisation’s details are consistent across the application, agreements and supporting records. Use the current checklist to confirm which documents and exemptions apply to your institution.
QCTO evaluates whether your organisation can deliver the selected programme in practice. Prepare evidence covering:
Prepare the learning material matrix and programme implementation plan requested for your application. Our guide to QCTO training materials explains how to review curriculum coverage and organise the supporting resources.
Your quality management system should explain how the institution will manage teaching, assessment, appeals, learner support, staff responsibilities and records. Policies need supporting procedures, forms and responsible personnel so your team can implement them.
Prepare a learner information system that can maintain accurate enrolment details and results, protect personal information and support the required reporting. Plan for QCTO learner enrolment and assessment readiness submissions. Test whether staff can retrieve a learner’s progress records and explain how missing or incorrect information will be resolved.
Use the application links and guidance on the official QCTO provider page. The process generally involves:
Prepare your staff to explain how the programme will operate and demonstrate the evidence in use. Keep a record of questions, findings and corrective actions. Application submission or acknowledgement does not mean accreditation has been granted.
Read the formal approval carefully to confirm the programmes, sites, validity dates and conditions it covers. Approval for one programme or location does not automatically extend to other offerings or branches. Confirm the required process before changing your delivery arrangements.
Our guide to QCTO accredited training providers in South Africa explains how provider status and approved scope can be checked.
Continue meeting the requirements demonstrated during accreditation. Keep staff records, resources, learner information and quality procedures current, and prepare for monitoring by QCTO or its representatives. Assign responsibility for reporting deadlines, document reviews and renewal planning. Keeping this work organised helps your team identify changes that may affect the programme before they disrupt delivery.
Nelson AA provides readiness reviews, quality management system support, application preparation and site-visit preparation. We can help you organise the requirements into a practical project plan, with clear evidence needs and outstanding actions. Bring your proposed programme, delivery plans and available documents to an initial consultation. The final accreditation decision remains with QCTO.
Identify the accreditation route and requirements linked to your chosen qualification, delivery method and proposed training sites.
Organise your institutional documents, staff records, learning resources and quality systems into a consistent application supported by practical evidence.
Prepare your team to demonstrate how the programme will operate, how learners will be supported and how the required resources will be used.

Yes. A new organisation can apply if it can demonstrate the applicable institutional and programme requirements. Financial evidence may include a business plan where suitable historical financial statements are not yet available. The organisation must still show that it has the capacity and resources to deliver the proposed programme.
Ownership is not universally required. A valid lease or other accepted premises arrangement may support the application. The facilities must meet the programme’s requirements, and the organisation must demonstrate that the necessary spaces and resources will be available for delivery and verification.
Facilitators and assessors must meet the requirements specified for the selected programme and their roles. Prepare evidence of relevant qualifications, experience and appointment arrangements. Check the curriculum and any applicable professional registration requirements rather than assuming that one generic assessor qualification covers every programme.
Yes, where the selected programme permits the proposed delivery method. Your application must explain how teaching, learner support, practical activities and assessment will meet the applicable requirements. Digital delivery does not remove curriculum components that remain necessary for the programme.
QCTO’s provider guide refers to a processing timeframe of 90 working days after the upload of all required supporting documents is complete and confirmed by QCTO. Allow separately for preparing your organisation and resolving outstanding requirements. The published timeframe should not be treated as a guaranteed approval date.
The total depends on your programme, training sites, existing resources and preparation needs. Budget for any applicable official fees, learning materials, staff, premises, equipment and professional assistance. Confirm current regulatory charges with QCTO and request a separate quotation for the preparation support your organisation requires.
