Review the documents, quality systems, personnel, learning materials and facilities required to prepare an education or training provider for accreditation.
An accreditation checklist helps a prospective education or training provider identify what must be in place before submitting an application. Although the exact requirements depend on the selected qualification and regulatory authority, most applications require evidence of institutional stability, qualified personnel, suitable learning materials, learner-support systems and the capacity to deliver the proposed programme properly.
Accreditation is not granted to a company in general for every course it may wish to offer. It normally relates to specified qualifications, part-qualifications, skills programmes or higher education programmes. Your first task is therefore to identify exactly what you intend to offer and which authority is responsible for approving it.
Nelson Academic Accreditation helps new and existing providers clarify the correct route, evaluate their readiness and organise the required supporting evidence. Our education accreditation consultants can develop a customised preparation plan based on your institution and intended programme offering.
South Africa has several education and training authorities, each with a defined area of responsibility. The correct route depends on the sub-framework, qualification type and institution involved.
Do not purchase generic learning material or prepare an application until you have verified the registered programme title, qualification code, NQF level, credits, current registration status and responsible authority. Applying through the wrong route can result in unsuitable documentation and unnecessary expenditure.
The applicant must demonstrate that it is a legitimate and sustainable organisation capable of managing education and training responsibly. Depending on the accreditation route, your institutional evidence may include:
The required documents must be current, consistent and relevant to the organisation applying for accreditation. Differences between company names, premises, staff records and application forms can cause questions during the evaluation.
A quality management system explains how the provider will operate after accreditation. It should be more than a collection of generic policies. The procedures, forms and registers must support the provider’s actual delivery model.
Your system may need to cover:
Each policy should be connected to practical evidence such as application forms, attendance registers, assessment records, complaints forms, appeals registers and internal review reports.
Providers must demonstrate that they have suitably qualified people to implement the selected programme. Staff requirements differ according to the curriculum, but evidence may be required for facilitators, assessors, moderators, subject matter experts, administrators and workplace supervisors.
Prepare current CVs, certified identity documents, relevant qualifications, occupational experience records, contracts and letters confirming staff availability. A generic assessor certificate does not automatically qualify someone to assess every programme. The individual must also have suitable technical competence for the relevant occupational field. Our guide to QCTO assessor requirements explains this distinction in more detail.
Learning and assessment materials must align with the complete curriculum or programme requirements. Depending on the offering, this may include learner guides, facilitator guides, workbooks, assessment instruments, memoranda, practical activities, logbooks and workplace-experience records.
A curriculum-alignment matrix should show where each knowledge, practical skills and workplace-experience requirement is addressed. Providers should also verify copyright ownership or obtain valid licences for third-party learning materials.
The premises, equipment and technology must be suitable for the proposed programme. A classroom may be sufficient for some knowledge components, while technical, agricultural or construction programmes can require workshops, farms, machinery, tools, protective equipment and formal workplace agreements.
Providers can use the specialist CETA accreditation checklist, AGRISETA accreditation requirements or MICT SETA accreditation checklist for sector-specific preparation guidance.
Before submitting, conduct a readiness review against the criteria for the exact programme and authority. Check that every claim in the application is supported by evidence and that the documents correspond with what evaluators will find in practice.
The process may include document evaluation and a physical or virtual site visit. Staff should understand their responsibilities, learning materials should be complete, equipment must be available and operational, and external resource arrangements should be supported by signed agreements.
Transport-sector organisations can also review the TETA accreditation check before preparing for evaluation.
Nelson AA can help you confirm the applicable programme and authority, identify gaps, develop quality-management documents and organise your evidence for submission. No consultant can guarantee approval, but thorough preparation can reduce avoidable errors and delays.

An accreditation checklist commonly covers the selected qualification, legal and institutional documents, financial sustainability, quality-management policies, qualified staff, learning and assessment materials, premises, equipment, learner-support systems and workplace arrangements. The exact requirements depend on the programme and regulator.
The correct authority depends on what you intend to offer. The QCTO accredits providers for programmes on the Occupational Qualifications Sub-Framework. Higher education programme accreditation involves the CHE, while private higher education institutions must also meet DHET registration requirements. Other offerings may involve Umalusi or a delegated quality partner.
Accreditation is programme-specific. Approval to offer one qualification or skills programme does not automatically authorise the provider to advertise or offer every other course as accredited.
Yes. The exact qualification, part-qualification, skills programme or academic programme determines the accreditation route, curriculum, staffing requirements, learning materials, facilities and equipment you must provide.
You must demonstrate that your organisation is ready to implement the programme. This generally requires complete learning and assessment materials aligned with the applicable curriculum or programme specifications.
Common staff evidence includes detailed CVs, certified identity documents, relevant qualifications, occupational experience records, contracts or availability agreements and assessor or moderator credentials where applicable.
External resources may be accepted where the applicable criteria permit them and formal agreements guarantee access. The agreement should clearly identify the facilities, equipment, responsibilities and conditions under which learners will use them.
The evaluation may include a physical or virtual site visit. Evaluators can inspect the premises, learning materials, staff records, equipment, safety arrangements, learner-administration systems and workplace agreements.
There is no universal guaranteed timeframe. The duration depends on the regulator, programme, completeness of the application, evaluation schedule, site-visit availability and whether corrective work or additional evidence is required.
No consultant can guarantee a regulator’s decision. Nelson AA can help identify the appropriate route, evaluate your readiness and prepare the required documentation and evidence, but final approval remains with the responsible authority.
